Cleared Systems, LLC ("Cleared Systems," "we," "our," or "us") operates ITAR Compliance Training LMS. This Privacy Policy explains how we collect, use, and protect information submitted through this platform. By using our platform you agree to the practices described in this policy.

This platform is intended for use by organizations and their employees located in the United States. We do not actively market to or collect data from individuals in the European Union.

2. Information We Collect

Organization administrators provide their name, organization name, email address, phone number, and billing information when registering an account.

Employees provide their name and email address when enrolled by their organization administrator. Upon registering via invite link, employees create a password.

Training activity is recorded automatically, including module progress, quiz attempts, quiz scores, session timestamps, and IP address at the time of each quiz submission. This data is retained as part of the compliance audit trail.

Payment information is collected and processed by our payment processor. We do not store full payment card numbers on our servers.

Usage data such as pages visited, time on site, and browser information may be collected through analytics services to improve platform performance.

3. How We Use Your Information

  • To create and manage organization and employee accounts
  • To process seat purchases and issue invoices
  • To deliver training content and track completion
  • To generate and verify certificates of completion
  • To send transactional emails including invitations, receipts, and completion notifications
  • To send training reminder emails to employees with outstanding training
  • To send daily training summary emails to organization administrators

4. Information Sharing

We do not sell, rent, or trade your personal information to third parties. We share information only with service providers necessary to operate the platform, including payment processing, email delivery, and infrastructure services. All service providers are contractually bound to use your information only as directed by us.

We may disclose information if required by law, regulation, or valid legal process.

5. Data Storage and Security

All data is stored on servers located in the United States. We implement technical and administrative safeguards appropriate to the sensitivity of the information we process, including encrypted connections (HTTPS) for all data transmission, access controls, and regular security reviews.

No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we take reasonable measures to protect your information.

6. Data Retention

Organization and employee account data is retained for as long as the account is active and for a reasonable period thereafter to support compliance documentation needs. Training records and certificate data are retained indefinitely to support certificate verification requests. Payment records are retained as required by applicable law.

You may request deletion of your account by contacting us. Note that deletion of an account does not remove certificate verification records, which are maintained to support the integrity of the verification system.

7. Cookies and Tracking

This platform uses session cookies necessary for authentication and platform functionality. We may also use analytics cookies to understand how the platform is used. You can disable cookies in your browser settings, though this may affect platform functionality.

8. Children's Privacy

This platform is intended for professional use by adults employed by defense contractors and related organizations. We do not knowingly collect information from individuals under the age of 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a revised effective date. Continued use of the platform after changes are posted constitutes acceptance of the revised policy.
