Adding Employees
with a CSV File

A CSV is a simple spreadsheet file. If you have a lot of workers to add, this is much faster than typing them in one by one.

You can make one in Excel, Google Sheets, or Numbers. When you save, pick CSV as the file type.

Start with our template

The upload page has a Download Sample CSV link. Open that file, delete our example rows, and type in your own people. That way the headings are already correct.

What the file needs

Your file needs exactly three columns, with these headings on the first line:

HeadingWhat goes in it
nameThe person's full name
emailTheir work email address
tiersWhich training levels they need

How to write the levels

In the tiers column, type the level name in small letters. There are four you can use:

If someone needs two levels, put a semicolon between them with no space, like this: introduction;advanced

What a finished file looks like

name,email,tiers Jane Smith,[email protected],introduction John Doe,[email protected],intermediate Sara Lee,[email protected],introduction;advanced Mike Jones,[email protected],manager

The first line is the headings. Every line after that is one person.

Uploading it

Go to Employees, then choose the upload option. Pick your file and upload it. The file must be smaller than 2 MB, which is thousands of people, so this is almost never a problem.

After it uploads, we tell you how many people were added and list any rows we could not use.

Uploading does not email anyone

Your workers are added to the roster, but no invitations go out. You send those yourself when you are ready.

What the error messages mean

Every error tells you the row number so you can find it. Row 2 is the first person, because row 1 is the headings.

MessageWhat to do
Missing name, email, or tiers One of the three boxes on that line is empty. Fill it in.
Invalid email The email is spelled wrong or has a space in it. Check for a missing @ sign or a typo.
Unknown tier The level name is misspelled. Use only introduction, intermediate, advanced, or manager, all in small letters.
Already exists That email is already on your roster. Take the line out of your file.
Good rows still go through

If a few lines have problems, the rest are still added. Fix the bad lines in a smaller file and upload that one. You do not have to start over.
